The Project Overview — Display & Columns

The Project Overview is your central list of all active and archived projects. You can access it via the "Projects" menu item in the left-hand navigation.

In this article, you’ll learn how to customize the view to suit your work style and which columns provide you with the most important information at a glance.

📐 Choose Your View

At the bottom right of the list, you’ll find the display menu. You decide how many projects you want to see at once:

  • 10 / 20 / 50 projects per page — classic pagination with page numbers at the bottom
  • Automatic loading — all projects on one page. As you scroll, additional projects are loaded automatically without you having to click on page numbers

Your selection is saved and automatically applied the next time you log in—even on a different device.

You’ll now find the same display options in the “Digital Delivery” and “Recurring Tasks” overviews as well. The setting applies uniformly to all three overviews—if you change it in one place, Proyex applies it everywhere. By default, 20 entries are displayed per page.

When “Automatic Loading” Is Useful

  • You want to keep track of everything while scrolling without having to pause to click
  • You frequently use the browser search (Ctrl+F / Cmd+F) to quickly find projects
  • You work with fewer than a few hundred projects

📊 The columns in the overview

Each row shows you the most important key details about the project:

  • Project name — including tags and follow-up status. Clickable; takes you directly to the project
  • Description — client or brief description
  • Client — linked contact or company from the CRM (see next section)
  • Tasks — completed vs. total tasks with progress bars and percentage values
  • Rev. — Number of revisions in the project
  • Time — total recorded work time
  • Start — Project start date
  • Deadline — Latest task due date in the project (see next section)

👤 The Client Column

In the Client column, you can see at a glance who a project belongs to—directly from your CRM. You can either select an existing contact or company, or create a new contact directly from the list without having to switch to your CRM.

Assign a client

  1. Click the field in the “Client” column in the row.
  2. Type a name—we’ll show you all matching contacts and companies from your CRM.
  3. Select an entry to link it.
  4. If the search doesn’t find a matching entry, click “... Create as a new contact.” The contact will be created immediately in your CRM and linked to the project.

You can remove a link by clicking the small X in the field.

Jump directly to the CRM entry

Once a customer is linked, an arrow icon appears to the right of the name when you hover over the cell. Clicking it opens the contact’s or company’s CRM details page in a new tab—without opening the edit dropdown.

Sort by Customer

Click the “Customer” column header to sort projects alphabetically by customer name. Projects without a customer link automatically move to the bottom of the list.

Use the “Projects” tab in the CRM

Conversely, you’ll now find a new “Projects” tab in the CRM detail view of a contact or company. There, you’ll see all linked projects with their names, creation dates, and archive status—clicking on one opens the project directly.

🗓️ The Deadline Column

The Deadline column shows you at a glance when the last due task in your project must be completed. This lets you immediately see which projects are coming up or are already overdue.

The display is color-coded:

  • Red — the final deadline has already passed
  • Yellow — the deadline is within the next 7 days
  • Neutral — the deadline is further in the future
  • (dash) — no tasks with due dates have been added to the project yet

Sort by Deadline

Click the “Deadline” column header to sort projects by due date — in ascending order (earliest deadlines first) or descending order. Projects without tasks automatically move to the bottom of the list so they don’t overshadow your time-sensitive projects.

🔗 Share and save the URL

Sorting, filters, and view mode are reflected directly in the browser URL. This means:

  • You can save a filtered view as a bookmark
  • You can send a colleague the link to a specific view
  • Clicking the browser’s Back button takes you to the previous filter settings

📱 In the mobile view

On smartphones and tablets, each project is displayed as a card. Task progress, revisions, work time, start date, and deadline appear as compact tiles. The view selector works exactly the same as on the desktop.

💡 Good to know

  • The deadline is calculated in real time based on your project’s tasks—as soon as you change a task or create a new one with a later due date, the value updates
  • Completed tasks are still factored in. If you want to “remove” the deadline, delete or remove the due date for the corresponding task
  • You can combine filters and sorting with the view selector as usual

🆕 The New Project View

In the new project view, the project list has additional features that go beyond the classic overview—it loads faster, is more organized, and you can edit the most important fields directly in the row.

More Informative Columns

  • Tags directly in the row—project tags appear as colored dots right next to the project name without taking up extra space in the row.
  • Team — displays the profile pictures of everyone who has been assigned tasks in the project. Hover your mouse over a picture to see the name; users who haven’t uploaded a photo yet are shown with their initials.
  • Budget — compares actual costs based on recorded time with the client value, so you can immediately see a project’s profitability. This column is visible only to users with controlling permissions.

Edit directly in the list

You can change the most important fields without having to open the project first:

  • Project Name — hover over the row and click the pencil icon.
  • Priority — Select directly in the cell.
  • Client — Assign a contact or company as usual.
  • Client Value — Enter the order value directly (requires Controlling permissions).

Your changes are saved immediately—a discreet notification confirms that they have been applied.

Filter, sort, and scroll

The list loads page by page and filters directly on the server—it remains smooth even with a large number of projects. You can filter by priority, customer, team member, and project tags, and sort freely by the most important columns. Click “Reset Filters” to clear all filters at once.
