What is the CRM export?
With the CRM export, you can retrieve all your data from Proyex at any time—as CSV files that you can open directly in Excel, Google Sheets, or other tools. You can export companies, contacts, deals, leads, and activities—either individually by category or all together as a ZIP archive.
Here’s how it works
Export a single category
- Open the list: In the CRM, go to Companies, Contacts, Deals, or Leads.
- Start the export: Click “CSV Export” at the top of the toolbar. The export runs in the background—you can continue working as usual while it’s running, and you’ll see the progress directly on the button.
- Download: As soon as the export is complete, a download link will appear next to the button. You’ll also receive an email with the link.
Export all CRM data at once
- Open CRM Settings → Data Management.
- In the Data Export section, click Export All CRM Data.
- You’ll receive a ZIP archive containing five CSV files—one for each category (Companies, Contacts, Deals, Leads, Activities). Below the button, you’ll also see your most recent exports, along with their status and download links.
What’s in the CSV files?
Each file contains all records for the respective section, including all fields—links are displayed as plain text (e.g., pipeline name, stage, linked company, and owner instead of internal numbers). Your custom fields are also included as separate columns. The files are optimized for the German Excel standard (semicolon-separated, correct umlauts), and the column headers appear in your selected language.
Permissions
Team owners, team admins, and CRM admins can use the export feature. CRM users and CRM viewers do not see the export button—a complete data export is intentionally reserved for administrative roles.
Frequently Asked Questions
How long is the download available?
24 hours after completion. After that, the file is automatically deleted—but you can start a new export at any time.
Are filters or search terms included?
No, the export always contains the complete dataset for the respective area—regardless of what you’ve currently filtered in the list. There is no limit on the number of records.
Can I re-import the exported data?
Yes. The format is compatible with the Import Wizard—which is handy for bulk changes or migrations. You can read about how the import works in the article “Importing Data—CSV Import in Five Steps.”
Tips & Notes
Use the full export as a regular backup of your CRM data. By the way, the Activities CSV also includes a link to the corresponding record (e.g., which deal a call belongs to)—this way, the context is preserved even outside of Proyex.
