What are comments and annotations?
In Proyex, you can provide feedback in two ways: with comments on assignments and with annotations directly on files such as PDFs, images, and videos. This ensures your feedback always stays where it belongs—in the context of the work.
Assignment Comments
Here’s how it works
Open an assignment in your project.
Scroll down to the Comments/Notes section.
Type your comment and click Submit.
Mentioning People
Type @ followed by a team member’s name to mention them directly. Mentioned people will receive a notification via email and in the app.
Edit and Delete
You can edit or delete your own comments at any time. Team owners and administrators can also delete comments made by other team members.
File Annotations
Annotations let you mark up files directly with feedback—whether it’s a draft PDF, an image, or a video.
Supported File Types
PDFs: Add annotations to specific pages.
Images: Add markups anywhere in the image.
Videos: Add comments at specific points in the video.
Available tools
Rectangle: Draw a box around the relevant area.
Freehand: Draw freely on the file.
Text Pin: Place a marker with a text comment.
Highlight: Highlight text areas (in PDFs).
Comment: Plain text comment without highlighting.
Use Colors
Each annotation has a color (default: orange). You can customize the color when creating it, for example, to mark urgent notes in red and optional suggestions in green.
Replies and Discussion
Other team members or clients can reply to any annotation. This creates a discussion thread directly next to the highlighted area. File attachments can also be added to replies (max. 50 MB per file).
Mark as Complete
Once a comment has been addressed, you can mark it as completed. This helps you keep track of which feedback is still pending.
Locked Revisions
Once a revision has the status “Accepted” or “Rejected,” no new annotations can be added, and existing ones cannot be edited.
Annotations for Customers (Guests)
Your customers can also create annotations—via guest access. They can provide feedback on revisions and media, write replies, and delete their own annotations. This allows you to collect customer feedback directly where it’s needed.
Your team is automatically notified: If a customer leaves comments or replies on a revision, project members receive an email—multiple comments made within a short period are bundled into a single message, including the page number and a text excerpt. A notification also appears in the app. The email is enabled by default and can be disabled in the notification settings under Revisions → New Comment.
Permissions
Real-time updates
Annotations are synced in real time. When a team member or client creates an annotation, it appears immediately for everyone else viewing the file—no reloading required.
Frequently Asked Questions
Can I add annotations to all files?
Annotations are available on PDFs (in revisions), images, and videos (in the media library).
Are people mentioned in comments also notified via email?
Yes, mentioned users receive an email notification (if enabled in settings) as well as an in-app notification.
Will I be notified when a client leaves a comment?
Yes. As soon as a client leaves annotations on a revision, project members receive a consolidated email and an in-app notification—so no feedback gets lost.
What happens to annotations when a file is deleted?
All annotations, replies, and attachments are automatically deleted as well.
Tips & Notes
Use colors consistently to indicate the urgency of your comments.
Mark completed feedback as "done" so that open items remain visible.
Use @mentions in task comments to ensure the right person is notified.
For customer feedback: Upload the file as a revision and share guest access—this way, your customer can annotate directly on the document.
