Videos on the Guest Portal — All Project Videos in One Place

What's this about?

Your customers (guests) will now find a dedicated “Videos” section in the sidebar of the guest portal. All videos that have been shared with them in their projects are automatically collected there—clearly grouped by project. This means your clients no longer have to click through individual tasks to find a video.

Here’s how it works

  1. Attach videos to tasks: You add videos to tasks as usual—for example, from the media library or as a video message.
  2. Make the task visible to guests: As soon as the task is visible to guests, the video automatically appears in the “Videos” section of the guest portal.
  3. Client opens “Videos”: Your client sees a separate section for each project with all videos, including a thumbnail, duration, and the task to which the video belongs. One click is all it takes to play the video directly in the portal.

Which videos appear in the Videos section?

The “Videos” section shows exactly what your guests are otherwise allowed to see in the project:

  • Only videos from tasks that are visible to guests. If the task is part of a milestone, that milestone must also be visible to guests.
  • If you’ve enabled “Hide Completed Tasks for Guests” in a project, the videos for completed tasks will also be hidden.
  • Videos that are currently being processed appear with a “Processing…” note and can be played as soon as they’re ready.
  • If your client is collaborating with multiple teams, they will only see the videos from the currently selected team.

Frequently Asked Questions

Do I have to enable the Videos section?

No. The section is automatically available to all guests. As long as there are no shared videos, your customers will see an empty section with a brief note.

Why can’t my client see a specific video?

Check three things: Is the associated task (and, if applicable, its milestone) visible to guests? Has the task already been completed while “Hide Completed Tasks” is enabled? And did the video processing possibly fail? Failed videos are not displayed to guests.

Can my customer download or upload videos?

The Videos section is for playback only. The standard upload settings still apply to file uploads by guests.
