What are recurring tasks?

Recurring tasks are automatically created according to a schedule you set—daily, weekly, monthly, or yearly. Perfect for regular processes like weekly reports, monthly billing, or daily check-ins.

Here’s how to set up a recurring task

  1. Open an existing task in your project.

  2. Click on "Recurring" in the task details.

  3. Select the frequency (daily, weekly, monthly, or yearly).

  4. Set the interval (e.g., every 2 weeks).

  5. Set a start date and, optionally, an end date.

  6. Optional: Set a due date (e.g., 3 days after creation).

  7. Save the settings.

Starting from the start date, Proyex will automatically create new tasks according to your frequency. Each generated task inherits the entire structure of the template—including description, checklists, files, videos, and assignment.

Available schedules

Daily

Creates a new task every X days.

Example: Every day, every 3 days

Weekly

Creates a new task every X weeks on specific days of the week.

Example: Every 2 weeks on Monday and Wednesday

Monthly

Three options:

  • On a specific day: e.g., on the 15th of every month

  • On the first and/or last day: e.g., on the 1st of every quarter

  • On a specific day of the week: e.g., on the second Tuesday of each month (or on the last Friday)

Example: Every 3 months on the last Friday

Annually

Creates a new task every X years on a specific day in certain months.

Example: Every year on January 1 and July 1

Due date

With the due date, you specify how many days after creation the generated task is due. If you set the due date to 0, the task is due on the day it is created.

Example: Deadline = 3 → Task is created on Monday and is due on Thursday.

What is included when the task is created?

Every automatically created task is a complete copy of the template:

  • Title and description

  • Assigned person

  • Checklists / Subtasks

  • Files and videos

  • Notes

  • Custom fields

  • Forms

The generated task always starts with the status Open.

Stop Recurrence

You have two options for stopping a recurrence:

  • Set an end date: The recurrence stops automatically after the specified date.

  • Delete recurrence: Remove the configuration in the task settings. Tasks that have already been created remain.

Recurring tasks in templates

You can also save recurring tasks in project templates. When you create a new project from the template, the recurrence rules are automatically applied. The start and end dates are not carried over, as these are project-specific.

Identifying Generated Tasks

Tasks that were created automatically display a note with a reference to the source task. You should always make changes to the recurrence in the source task—not in the generated copy.

Frequently Asked Questions

Can I pause the recurrence?

There is no pause function. However, you can set an end date and remove it later to resume the recurrence.

What happens if I delete the source task?

The recurrence is automatically deleted as well. Tasks that have already been generated remain unaffected.

Can I set a limit on the number of repetitions (e.g., max. 10 repetitions)?

There is no numerical limit. Instead, use an end date to set a time limit on the recurrence.

Are notifications sent for generated tasks?

Yes, if the task is assigned to a person, they will receive a notification about the new task.

Tips & Notes

  • Use the due date so that generated tasks don’t appear overdue immediately.

  • Create recurring tasks in templates so they are automatically active in every new project.

  • For daily routines (e.g., stand-ups), use Frequency: Daily, Interval: 1.

  • For quarterly tasks: Monthly, every 3 months, on the 1st day.
