Manage Contacts

What are contacts?
Contacts are the individual points of contact at your customers’ and business partners’ companies. Each contact can be linked to companies and deals.
Create a contact
- Click on "Create Contact."
- Enter the first and last name (required fields).
- Optional: Add email, phone number, job title, and address.
- Optional: Add notes.
Search for contacts
A search field is available on the contact overview page. You can choose between two search modes:
- Contains: Finds contacts whose name or email address contains the search term
- Exact: Finds only contacts that match the search term exactly
You can also filter contacts by labels.
You can also assign labels in bulk: Select multiple contacts using the checkboxes at the beginning of each row, then click “Labels” in the top bar—in the dialog box, you can add or remove the selected labels from all selected contacts.
Available Fields
UTM Data
Contacts may also contain UTM parameters that are automatically set during import or via integrations: UTM Source, UTM Medium, UTM Campaign, UTM Term, UTM Content, and Referrer URL.
Link contacts to companies
You can link contacts directly to companies:
- Open a contact’s detail view.
- In the Companies section, click Link to Company.
- Search for the desired company using the search field.
- Optional: Assign a role and specify whether this contact is the primary contact.
You can remove existing links at any time. A contact can be linked to multiple companies.
Links
A contact can be linked to the following elements:
- Companies: A contact can be assigned to multiple companies. For each company, you can assign a role and designate a primary contact.
- Deals: All deals in which this contact is listed as a contact person.
- Projects: All projects in which this contact is listed as a client (e.g., via the “Client” column in the project overview).
- Activities: Calls, emails, meetings, and other activities.
- Files: Documents and files assigned to the contact.
The Detail View
In a contact’s detail view, you’ll find:
- Master data — all fields can be edited directly
- Company — associated companies with roles and a link dialog
- Deals — open and closed deals
- Projects — all projects with this contact as a client, accessible via the “Projects” tab in the activity timeline
- Activities — all assigned activities
- Emails — Synchronized emails (with Gmail integration enabled)
Files
You can add files to a contact. Uploads and deletions are automatically logged in the timeline.
Duplicate Detection
When creating new contacts, Proyex automatically checks for duplicates—based on the email address or the first and last names.
Permissions
To view contacts, you need the "View CRM" permission. To create, edit, and delete contacts, you need the "Manage CRM" permission.
