Spaces - Organizing projects and teams

What are Spaces?

Spaces are flexible areas where you can organize your projects and team members by topic. Think of Spaces as departments, client groups, or work areas—each Space has its own members, projects, and task overview.

Create a Space

  1. Navigate to the workspace: Click the "Work" section in the sidebar.
  2. Create a Space: Click the plus icon (+) next to the "Spaces" heading.
  3. Name and description: Enter a name (required field) and, optionally, a description.
  4. Assign projects: You can assign existing projects to the Space as you create it. Only projects that are not yet assigned to a Space will be displayed.

Space Overview

When you open a Space, you’ll see two main areas:

  • Tasks Widget: Displays your personal tasks from all projects in this Space—divided into Overdue, Pending, and Completed. Use the "Show Blocked" toggle to show or hide blocked tasks.
  • Projects in the Space: A list of all projects assigned to the space. Click on a project to go directly to its milestones.

Manage Projects

In the space settings, you can assign or remove projects:

  1. Open settings: Click the "Edit" button in the space header.
  2. Assign a project: Search for the desired project in the dropdown and click "Assign Project." Only projects that are not yet assigned to a space are displayed.
  3. Remove a project: Click "Remove" next to the project name. The project will not be deleted, but only removed from the Space.
  4. Save: Click "Save" to apply the changes.

Note: A project can only be assigned to one space at a time. If a space is deleted, the assigned projects are automatically released—they remain intact and can be assigned to another space.

Manage members

Each space has its own member list with individual roles:

  1. Open Members: Click "Members" in the Space header.
  2. Add a member: Select a team member from the dropdown and click "Add Member." New members are assigned the "Space Member" role by default.
  3. Change role: Select a different role from the dropdown next to the member’s name.
  4. Remove a member: Click the X icon next to the member.

Note: Only team members from your organization can be added to a Space.

Edit and delete spaces

Using the "Edit" button in the Space header, you can:

  • Change the name and description
  • Assign or remove projects
  • Delete the Space—using the red button in the dialog. The assigned projects remain intact and become available again as unassigned.

Deleting a space must be confirmed in a confirmation dialog.

Frequently Asked Questions

Can a project be in multiple spaces?

No, each project can only be assigned to one space at a time. To assign a project to a different space, first remove it from the current space.

What happens to the projects when I delete a space?

The projects are not deleted. They are automatically released and can then be assigned to another space.

Who can create Spaces?

Creating Spaces requires the "Create Spaces" permission. By default, Team Owners, Team Admins, and Team Managers have this permission.

Do I also see tasks from other members in my Tasks widget?

No, the tasks widget in the space shows only your own open and overdue tasks from the projects in that space.

Tips and Notes

  • Use Spaces to group projects by topic—e.g., by customer, department, or product area.
  • When you create a Space, you are automatically added as a Space admin.
  • Spaces are displayed in the sidebar under "Work." This gives you quick access to your areas.
  • You can assign unassigned projects at any time via the Space settings.
