Time Tracking — Tracking and Analyzing Work Hours

What is time tracking?
With time tracking in Proyex, you can track your work hours down to the second—either in real time using a timer or by manually entering your hours later. You can see at a glance how much time you’ve worked today, this week, and this month, and analyze your time by project, task, and team member.
Here’s how it works
Start the timer
Click the play button in the time tracking feature.
Optionally, select a project and a task. You can recognize archived projects by the “Archived” badge next to the name—this helps you avoid accidentally selecting an old project with the same name. Your team owner can also hide archived projects entirely from the time tracking section—in that case, they won’t appear here at all (see Frequently Asked Questions).
Enter a short description (e.g., “Revise design draft”).
Select the type: Work or Meeting.
The timer is running—you’ll see the elapsed time in real time.
Pause and Resume
Click Pause to record a break. The pause time is automatically deducted from the total time. You can pause and resume as often as you like.
Stop the Timer
Click Stop to end the time entry. The total duration is calculated automatically (minus breaks).
Switch Projects or Tasks
Working on something else? Simply switch projects, tasks, or descriptions—the current entry will automatically end and a new one will start.
Add Time Manually
You can also enter time entries retroactively:
Click "Create Entry."
Select the date, start time, and end time.
Assign the entry to a project and, optionally, to a task.
Save the entry.
Overlapping time entries are automatically detected and prevented.
Your Statistics
On the time tracking page, you’ll see four statistics cards:
Today: Hours worked today (minus breaks).
This Week: Weekly total with a progress bar showing your progress toward your weekly goal (default: 40 hours, customizable).
This Month: Monthly total and number of entries.
Current Status: Shows whether you’re currently tracking, which project you’re working on, and how long you’ve been tracking.
Time Analysis
For a more in-depth analysis, use the time analysis feature. Here, you can analyze your work hours by:
Project — How much time was spent on each project?
Project tags — Grouped by project categories.
Team Member — Who worked how much?
Template — Comparison of template-based projects.
Project Benchmark — Estimated vs. actual time.
Export
You can export your time entries as a PDF:
Go to Time Tracking > Export.
Select the time period (start and end dates).
Select the team members whose times you want to export.
Optional: Filter by specific projects or tasks.
Select display options (show project names, task names, descriptions; group by day).
Click Create Export.
The export is generated in the background. You can track its progress and download the PDF once it’s complete. Exports are available for download for 24 hours.

Frequently Asked Questions
What happens if I forget to stop the timer?
The timer will continue to run until you stop it manually. You can then edit the entry and enter the correct end time.
Can I log time without assigning it to a project?
Yes, project assignment is optional. The entry will then appear as a general time entry.
How are breaks calculated?
Break times are automatically deducted from the total duration. You’ll see both the gross time and the deducted break time.
Can my team leader see my times?
Only if the appropriate permission has been granted. By default, you can only see your own entries.
Can I prevent time from being tracked on archived projects?
Yes. In the team settings, toggle the “Hide archived projects in time tracking” switch. Archived projects will then disappear from the project selection in time tracking, and you will no longer be able to start tracking time on them. Only the team owner can change this setting. Time already tracked will remain, and any timer that is currently running will not be interrupted.
Tips & Notes
Set your weekly goal (e.g., 40 hours) to track your progress on the dashboard.
Use the type distinction (Work/Meeting) to get a better picture of how you’re spending your time.
Always assign time entries to a project and a task—this way, you’ll get meaningful insights in the analysis.
Exports are ideal for billing clients or internal reporting.
